What Is a Counseling Letter?
A Counseling Letter is a document that contains information about the counseling that an employee or member of the army is entitled to because of their misconduct or poor work performance. A printable Counselling Letter template can be found through the link below.
The purpose of the document is to formally inform the employee or member of the army about their infraction, explain to them that their behavior is not acceptable, and the possible consequences they could face. A Letter of Counseling can be issued when an employer or a non-commissioned officer wants to correct the behavior of a member of their personnel. It is necessary when their conduct is incompatible with the company's policy or army standards.
How to Write a Counseling Letter?
The counseling letter format should contain several parts which include the following:
- Introduction . In the first part of the document, the sender should state the subject of the letter. They can explain that the document is dedicated to the misconduct and depict when and where it took place.
- Infraction . Here, the sender can thoroughly describe the content of misconduct and which exact policies (or standards) it has violated. In addition to this, the sender can indicate the possible consequences that might take place if the receiver of the letter will not change their behavior.
- Discussion . The sender can use this part of the letter, to designate the date when the discussion of the misconduct has taken place. They can also briefly describe the content of the counseling session and set expectations for the receiver of the letter. Additionally, they can establish a time frame during which they would like to see the improvements in behavior,
- Conclusion . At the end of the document, the sender can offer help to the receiver of the letter in case they have any questions. The document should also contain an area where the receiver of the letter can indicate their acknowledgment of the situation by signing it.
